About whom do we collect personal information?
In providing services to our clients, SYNTAX is often required to carry out processes involving the use of data owned by those clients. Consequently, our clients often require us to collect personal information about their customers. In doing this, we may collect personal information about other individuals. For example, when scanning documents relating to land transactions, the names of persons historically associated with the land may also be recorded.
What kinds of personal information do we collect?
In general, the type of personal information SYNTAX collects, and holds for periods appropriate to efficient and secure production processes, includes (but is not limited to): names, addresses, contact details, and billing information.
In most cases, if the personal information we require is not provided by our clients, we may not be able to supply our services.
How do we collect personal information?
Generally, when providing services to our clients, we collect personal information when our clients provide us with their customer information. [For purposes including data processing, laser printing, scanning, mailing or similar purposes associated with outsourced business processes.]
How might we use and disclose the personal information provided by our clients?
When providing our services to a client, the personal information we receive from the client is the property of the client and not SYNTAX. We use and disclose the personal information only for the purpose of providing our services to the client, unless otherwise required by law. These arrangements are governed by contractual conditions.
Management of personal information provided by our clients
The personal information we receive from our clients is the property of our clients. This information is generally maintained on computer databases. In general, we do not retain this information for longer than required for efficient and secure production processes. These periods may vary, depending on the processes required by each client. Some processes require minimal retention of personal information. When we provide an outsourced content repository for our clients however, we may retain personal information, securely, on behalf of our clients, for prolonged periods.
Your ability to access your personal information provided by our clients
Subject to some exceptions, the Privacy Act entitles individuals to gain access to personal information which an organisation holds about them. However, in the case of personal information that we collect from our clients, access to that personal information should be sought from the relevant client.

The type of information we may collect and hold when running our own day-to-day business operations includes (but is not limited to), personal information about:

How do we collect personal information?
Personal information you provide: SYNTAX will generally collect personal information by way of forms filled out by people, face-to-face meetings, interviews, business cards, and telephone conversations.
Personal information provided by other people: SYNTAX collects personal information about an individual from third parties, such as recruitment firms and referrals from existing contacts.
Web site collection
SYNTAX collects personal information from the web site www.SYNTAX.net.au through receiving information applications, for access to the '”Contact Us” section of our web site, general inquiries and emails.
How might we use and disclose your personal information?
SYNTAX may use and disclose your personal information for the primary purpose for which it is collected, for secondary purposes which you may reasonably expect to be related to the primary purpose and in other circumstances authorised by the Privacy Act.
In general, we use and disclose your personal information for the following purposes:

How do we keep personal information accurate and up-to-date?
SYNTAX endeavours to ensure that the personal information it holds is accurate, complete and up-to-date. We encourage you to contact us in order to update any personal information we hold about you. Our contact details are set out below.
You have the ability to gain access to your personal information
Subject to the exceptions set out in the Privacy Act, you may gain access to the personal information which SYNTAX holds about you by contacting us.
We will require you to verify your identity and to specify what information you require. An access fee may apply. We will advise you of the likely cost in advance.
Other policies on how we handle all personal information
Sensitive information
Some personal information which we collect, usually indirectly, is 'sensitive information'. Sensitive information includes: information relating to a person's racial or ethnic origin, political opinions, religion, trade union or other professional or trade association membership, sexual preferences and criminal record, that is also personal information; and health information about an individual.
If we collect sensitive information from a client to provide our services to the client, we require that the client obtain the individual's consent for SYNTAX to collect their sensitive information.
Sensitive information will be used and disclosed only for the purpose for which it was provided or a directly related secondary purpose, unless you agree otherwise, or where certain other limited circumstances apply (e.g. where required by law).
Sending information overseas
In general, we do not send to overseas recipients personal information which we receive from our clients. However, if we send any personal information to overseas recipients, we would not do this without:

obtaining the individual's consent (in some cases this consent will be implied); or

otherwise complying with the National Privacy Principles.

SYNTAX may disclose your personal information to its related companies, including those located outside Australia. We take steps to ensure that such recipients respect the confidentiality of this information by abiding by the National Privacy Principles or equivalent privacy laws.
General management of personal information
We take reasonable steps to protect the security of personal information that we hold. SYNTAX personnel are required to respect the confidentiality of personal information and the privacy of individuals.
SYNTAX takes steps to protect personal information held from misuse and loss and from unauthorised access, modification or disclosure, (e.g. by use of physical security systems, independently accredited operational practices and restricted access to electronic records).
Where we no longer require your personal information for a permitted purpose under the National Privacy Principles, we will take reasonable steps to delete, de-identify or destroy it, except for personal information provided by our clients, in which case we will return it to the client or destroy it if the client requests us to do so. In neither case do we keep copies of your personal information.
